Key Contact for Hong Kong

While we are primarily supporting clients who are based in Hong Kong, we do have clients who are located elsewhere in the world. We currently have clients based in France, Germany, the United Kingdom, Australia, Macau, United States of America, Canada, and Bali.

In this work example, our client is a multinational, with the offices in Hong Kong, Paris and London. Their head office is overseas, however, they have a number of clients in Hong Kong and Asia. They do not need a full-time administrative team in Hong Kong, which benefits us as we are their key contact for Hong Kong.

Client Request:

Prior to the pandemic, our client had an office here, with a small administrative team, who also doubled to serve their clients. With the escalation of the protests, the General Manager decided to leave Hong Kong and relocate back to her home country, France. Due to her relocation, she recommended that the company find an organisation that could manage the business in Hong Kong, and that’s how we came to support this client.

The client needed support on email management, communication between head office and their Hong Kong based company secretary, as well as assistance with their customer and freelancer invoicing management, Hong Kong bookkeeping and accounting.

Our Support:

As our client’s key contact in Hong Kong, we have a range of responsibilities that managed on a weekly and monthly basis. In this instance, we are more than a Virtual Assistant for this client, we are their Administrative Consultant, reporting directly to the Managing Director based in France.

On a daily basis, we are managing and responding to emails from freelancers, client support team, and the Managing Director. Where we can, we are empowered to resolve issues, and where necessary, escalate concerns to the MD. Every week we provide a status update to our client.

On an ad hoc basis, and only as needed, we will liaise with the bank, Inland Revenue Department, or other government departments in Hong Kong. We use our local experience and knowledge to organise and handle any administrative issues. We will provide recommendations so our client can make informed decisions that relate to their client work in Hong Kong.

At the completion of each project the client is managing in Hong Kong, we will issue invoices to their customers, process invoices from the freelancers who worked on the project, along with payment processing, following up overdue invoices, and electronic filing.

Apart from invoice management, we prepare a range of financial reports, which needs more high level bookkeeping and accounting knowledge. This reporting allows our client to understand the status of their Hong Kong business. Lastly, we provide a full set of financial reports to their accountant, whom we highly recommended, for their annual auditing.

We have been working with this client since January 2020.
