1. Process Implementation and Invoice Scheduling: We established a standard process in the client’s accounting system (Xero Accounting, though we also support clients using Wave Financial). When she enters into a new contract, we create and schedule a 50% deposit invoice. Once approved by the client, the invoice is sent to the appropriate party via Xero.
2. Final Invoice and Expense Management: At the conclusion of the service—typically based on a schedule we’re familiar with—we generate a final invoice for the remaining 50%, including any reimbursable expenses. This is also sent directly to the client’s customer, ensuring consistency and professionalism.
3. Payment Monitoring and Reconciliation: With the client’s bank account synced to Xero, we monitor incoming payments, match them to the correct invoices, and reconcile the bank account accordingly.

By managing the end-to-end invoicing process, we have alleviated a significant source of stress for the client.
